The position, in a nutshell

The Shipping Coordinator verifies and keeps records of incoming and outgoing shipments, packaging and prepares products for shipment. Schedules freight for inbound and outbound shipments, direct contact with customers for freight notification and coordination. Information collection, tracking and entry to support production, sales and accounting.

Key Responsibilities

  • Manages incoming/outgoing trucks and rail cars as required. This includes couriers, visitors, contractor’s parts/supplies deliveries, etc.
  • Schedules trucks and verifies inbound and outbound shipments to facilitate accurate inventory and bill of lading
  • Verifies outbound Home Depot material against bill of lading in conjunction with Production Coordinator
  • Makes orders and routes railcars to customer destinations. Generates daily outbound report to each salesman that has railcars heading to customers
  • Schedules, orders, and releases rail shipments
  • Coordinates with various self-unloaders when flatbed/railcars are arriving at destination
  • Enters shipments in BlueBee system and pole database; generating all required paperwork for shipments (bill of lading, customs papers, etc.) Forwards paperwork as necessary to all appropriate individuals, internal and external
  • Prepares stock transfer to other Stella-Jones facilities
  • Accepts and add freight provision on stock transfers from other plants and prepaid customer orders
  • Once a day walk around the yard to verify railcar numbers and missing car sets to avoid demurrage charges
  • Coordinates quality control inspections with independent agencies with primary responsibility for compliance to standards specifications

Inventory management

  • Ensures inventory to warehouse and stock transfers is accurate

Production Coordination & Customer Service

  • Orders file tracking, drawing attention to orders that might fall late, as it relates to shipping constraints. Notifies plant manager and regional sales manager as required
  • Ensures all orders are prepared and shipped as customer requested; notifying the regional sales manager of that shipment event or if a delay is possible
  • Addresses all customer questions and requests related to deliveries and bill of lading

Sales support

  • Negotiates pricing for shipments (truck or rail) on quotations; protects rate when quote becomes a sales order. Cash sales, quoting and coordinating as directed by sales department and plant managers.
  • After sales support to contracted customers

Accounts Receivable and General Administration

  • Approves freight invoices and provides reference to payables department to clear freight accruals.
  • Freight demurrage management. Dispute resolution and cost control
  • Performs other duties as assigned
